PMA CINCH® Risk Management Information 'Super' System

At PMA we listen to you - our clients, agents and brokers - and take to heart what you have to say. We work with you to get to know your (or your clients') business operations and risk management needs, and create tailored programs to address them. That's why when we heard from you that PMA CINCH
®, our online risk management information system, was great but you'd like some enhancements, we listened and got to work.

We're proud to say that PMA CINCH is one of the most capable risk management information systems available today. And we're committed to keeping it that way, which is why we're also committed to acting on the invaluable feedback that we receive from the people who use it every day - you.

Our most recent upgrades were launched in mid-April and involved a number of enhancements. We added a diary function, improved the home page and made several upgrades to our claim inquiry, incurred change alert, help screen and policy views. Here's an idea of what all of that means - and what some of you are already saying about it.

Key Enhancements in Place

DIARY FUNCTION

PMA CINCH's new diary function allows you to set up a diary and add personal log notes to claims so it's easier for you to track their progress and record your next steps. PMA CINCH will make sure your notes don't mix with other users' notes, even on the same account, and will block them from the adjuster's view unless you choose to share them. You can also mark certain notes with specific due dates and PMA CINCH will automatically send you an e-mail reminder when those items are due. All of your diary items are easily accessible from the PMA CINCH home page via the "My Diary" screen, which lists your notes and reminders, and provides one-click access to those claims.

"This is a wonderful feature," says Nancy Knuth, Vice President and Claims Manager for one of PMA's largest brokers. "It's almost better than chocolate. You log into PMA CINCH and there's a diary that takes you directly to the claim. Wow, I'm impressed with this enhancement!"

CLAIM INQUIRIES

We've also made it easier to run claim inquiries by building in the option to search by activity date, which will list all claims that have had activity in a selected time frame. When viewing your detailed claims list, you'll notice the location code and description now appear together. When you sort the list, the new order holds until you sort again.

You can also navigate between claims within the tabs without having to return to the list to select another claim (e.g., when viewing a claim's log notes, you can navigate forward or back viewing other claims' log notes). Additionally, you can view, print and save Employer's First Report of Injury (EFR) reports. And if you're curious about the status of a claim payment, that's now listed in the detailed payment list.

"After playing with the system for a few minutes I am in awe of how much information we can get on a case," says Rowena Krum, HR Representative and current PMA CINCH user. "With some of our previous workers' compensation carriers we basically operated in a vacuum."

INCURRED CHANGE ALERTS

It pays to keep a close eye on the cost of every claim. That's why PMA CINCH can now send incurred change alerts via e-mail upon your request. For example, should a claim incurred change more than the dollar amount you've selected, you'll receive an e-mail notification with a link to PMA CINCH so you can log in and take a look. If you're interested in this service and not already receiving it, simply send an e-mail to PMA_Cinch@pmagroup.com with your request as well as the name of your company and your PMA CINCH user name. We'll make sure to get you up and running quickly.

HELP SCREEN

We made PMA CINCH's help screen more helpful than ever by adding a "What's New" section that details recent system enhancements so you know what's what. We also posted a PDF of our PMA CINCH User's Guide on the help screen so it's never more than a click away.

POLICY VIEW

Do you sometimes wish you had ready access to your PMA insurance policy? Now you can view images of your policy documents online via PMA CINCH. We'll only post policy documents at your request, so if you're interested in taking advantage of this feature, send an e-mail to PMA_Cinch@pmagroup.com, including the name of your company and your PMA CINCH user name, and we'll make it happen.

There's More to Come

We've made substantial progress in recent months, but we're not stopping there and already have a series of additional enhancements in the works for later this year. Here's a sneak peek at what's still to come.

One of the best things about PMA CINCH is how accessible it makes all of your critical claims data and enables you to output that data in various report formats. In the near future, we're going to make the entire report library accessible to users so you can select the reports that you want and develop a customized list. You'll even be able to set the output format, run frequency and delivery options for each of the reports on your list.

We're also investigating the development of a risk management dashboard that would provide a single-page overview of your complete program. The dashboard would allow you to select pre-defined graphs and charts that would outline various critical aspects of your PMA program. From within the overview, you would also be able to click on each item for greater detail.

You will see these and other enhancements implemented throughout the remainder of this year, as PMA CINCH only improves with time. Your feedback and suggestions have made sure of that and we encourage you to keep them coming. "Risk management systems should be about including employers as an important part of the overall claims management process," adds Jim Klotz, PMA SVP and Chief Information Officer. "Through PMA CINCH, we're dedicated to providing our clients the best opportunity to make a difference in their claim results."

If you have questions about any of our latest enhancements, log into PMA CINCH and click on the HELP button to view a visual explanation of how they work, or send an e-mail to PMA_Cinch@pmagroup.com.
